To ensure transparency and equity across the association, SBR is developing and publishing a number of policies to guide processes and decision making. Click the dropdown arrows below to review each policy.

REFUNDS & WITHDRAWALSRefund guidelines Before evaluations - refund is registration fees minus $25 administrative fee. After evaluations before teams formed - refund is registration minus $50 administrative fee. Once teams are made and rosters submitted to Calgary Minor Softball Association (March 31) the refund is 50% of registration fee. After April 1, no refunds will be provided after teams have been formed except for withdrawal due to medical reason or family relocation out of SBR league boundaries. (see Calgary Minor Softball Association website for reference). In such cases, refunds will be pro-rated. Medical withdrawal requirements are at the discretion of the SBR Executive Committee. Once a medical refund has been given, the player will be removed from the official roster and will no longer be allowed to participate in team activities. The roster spot will now be considered vacant and could be filled by a new player registration. No refunds will be issued for suspended players. Notice of withdrawals will only be accepted via email to the SBR Registrar (registration@sbrsoftball.com) and SBR Treasurer (treasurer@sbrsoftball.com). The date and time stamp of the email will be used to determine eligibility and what refund scenario is applicable.

If the spot does not fill before clinic starts no refund will be processed. After the first clinic date, no refunds will be provided except for withdrawal due to medical reason or family relocation. Once a medical refund has been given, the player will be removed from as a clinic participant and will no longer be allowed to participate in the clinic. The clinic spot would be considered vacant and could be filled by a new player registration. No refunds will be issued for suspended players. PLAYER TRANSFERSPURPOSE To prevent a decline in player numbers. To provide a deadline for player movement. To give South Bow River Softball an opportunity to foster programs. To develop fair and equitable criteria for players wishing to patriciate in programs outside their designated clubs. SCOPE AND APPLICATION OF THIS POLICY This policy applies to any player who wishes to transfer to another association outside of SBR’s Calgary Minor club boundary. TIMELINES Below are the annual dates for player transfer requests: ‘A’ Team Player Transfers If a player has been offered and accepted a spot on another ‘A’ team outside of SBR, transfer requests must be submitted by no later than September 30 of the current year. Other Divisions If a player would like to play for SBR from an association outside of SBR boundaries, player transfer requests must be submitted prior to the Calgary Minor Softball Association transfer date. *Note that the outside club must not offer a similar team or division within their organization for the transfer request to be approved. PROCESS AND GUIDELINES Use player transfer form from Calgary Minor or Softball Alberta. Please follow Softball Alberta’s policy to ensure that all the forms are distributed appropriately. There is a president-to-president discussion as per above processes. POLICY CONDITIONS Player transfers are for a one-year term, expiring on August 31 of the current year. If a player transfer is approved, then the player may play for the team outside of the designated association for the allotted term. Transfers are only considered for players at U13 and up. Player transfers from U7, U9 and U11 will not be considered per Calgary Minor Softball Association Rule 6.3.1 If a player transfer is denied, then the denied transfer will be forwarded to Calgary Minor and Softball AB minor director and the Softball AB executive director. South Bow River Softball executive will provide rationale regarding the denial and information on the associations appeal process and options for the player and forward this information both to the player, parent/guardian and receiving association president. If denied through South Bow River Softball appeal process the player has the right to appeal to Softball Alberta as per Article I of the Softball Alberta Website.

PLAYERS PLAYING UPSBR runs five divisions of softball for ages U9+. These divisions follow Softball Alberta’s Provincial divisions, A, B, C and D, with A being the highest level of softball an athlete can play in the province of Alberta. We acknowledge that while most players typically develop better within their age-appropriate category, we understand that exceptionally talented players may seek opportunities to compete in the next age category within the association. This policy governs the process and criteria for athletes wishing to try out for an older age category within SBR. Note that this policy is only applicable for players trying out for the Division A Teams of U13 and above, and not applicable for any athletes wanting to play an age division up for divisions B, C, or D. CRITERIA & PROCEDURES 1. Eligibility: Players in U13 and up may evaluate for a higher age group. Players in U7, U9, and U11 are not eligible. Athletes are eligible to try out for an older age category only if they are in the second year of their current age category. 2. Evaluation for Division ‘A’ Team: To be considered for a Division ‘A’ team in the older age category, athletes must rank in the top 6 overall among players in that age category based on evaluator assessment at the ID Camp. This assessment includes technical skills, tactical understanding, physical abilities, and overall performance consistency. SBR Softball August 2024. Team Placement Consideration: Placement on a team in an age category above where an athlete belongs is not guaranteed. Final decisions on team composition will be based on the head coach decisions of each age category. Procedure Overview: Athletes interested in playing up should initiate the process by contacting the association via email at coordinator@sbrsoftball.com. They will participate in the ID Camp for their selected age category. Head coach will make the final decision for team placement. Should the athlete not make the team for the older age category, they will be considered for Division A team placement on their current age category.

MISSED EVALUATIONSAt SBR, we take our player evaluations very seriously to ensure that players are placed on teams that best match their skills and mental maturity. In some instances, players are unable to attend either evaluation session, either due to injury, or scheduling conflicts. In this instance, SBR will use the following guidelines on player placement: 1. The players evaluation scores from the previous year will be used a. The Team Genius raw average will be used, and a new ranking based on the current year will be created. Ex: Player X had an average Subjective of 7.57 in 2022, with a Subjective ranking of 4, only the 7.57 Subjective would be used in 2023. A new ranking would be created using all 2023 players. b. If a player did not attend evaluations the previous year either, then the players’ previous year division placement will be used and the players evaluation scores will be entered as NA. Ex: Player X was Division 3 in 2022, then the recommendation from the board will be to place that player in Division 3 for 2023. The SBR Executive Board will approve and finalize the team roster at the player draft with the head coach.

LATE REGISTRATIONStarting February 1, 2024, South Bow River Softball will be implementing a Late Fee to all registrations for U11, U13, U15, U17, and U19 (with the discretion of the SBR Executive Committee). Individuals will be charged a $25 late registration fee to all player registrations that are entered after the advertised and communicated registration close date for the season. Players registering in the Learn to Play program and U9 will not be charged the late fee as outlined.
